  5. Closing
  6. Your signature file (Follow instructions below.)
  7. Spell check the document
  8. Send the message to the email address your teacher provides.

Creating an email Signature File

A signature file includes information about you that you would like included at the bottom of each email message you write. This saves time for you because you don't have to type the information each time you send a message. In general, students include the following in their signature files:

  • Title
  • Full name--If you also have a nickname, include it in parentheses
  • Affiliation--the school and/or department of your major
  • Email address--this is the full internet address from which you are sending

If you wish, you may include your phone extension or room location--but you should carefully consider whether you want to keep this information private.

To create your signature file in your iNotes email account:

  1. Click the Preferences radio button in the top menu bar.
  2. Check the "Automatically append a signature to the bottom of my outgoing mail messages" selection box.
  3. In the "send and receive" dialogue box, type your signature file information. For example:

Mr. Jonathan (Jon) SMITH
School of Business Administration--Marketing
j.smith@aui.ma

Remember: Whatever you type in your signature file will be appended to all email messages. (You can make changes by editing the signature file using Preferences.)
